Formal Letter

For Monday (Dec 20th) or Thursday (Dec 23rd) next week you're required to hand in a formal. You can also post your letters in the "comentario".

Just bear in mind a few things when writing a formal letter and read the note in the "comentario"

Dear Mr. Samuels,
We have just received your letter about changes in our journey arrangements. Thanks for writing.
We do not mind starting one day later, but we will finish one day later too, I guess.
If you can not achieve a pick-up service, there is not problem; we will look for a taxi at the airport.
But we can not change to the Holiday Inn hotel because it is very far from the city centre. We would like a hotel near the coach station and the railway station, because we do not have any driving licence and we need moving easily through the country.
We would appreciate if you try to find a hotel in the city centre. Please.

Dear Mr. Smith,
I'm writing to inform you of some changes to your holiday arrangement in January 2008.
We have information that in these days will be posible a stike on the airport and we must tell you this.
we will be change the flight.
The flight will be now leave at 12:30 AM on Monday January 18th (01/18/08) not Monday January 18th (01/11/08).The return flight is now Monday January 28th(01/28/08).
The hotel booking is still for 10 days.The hotel will be the same,Hotel Meridian,is a five-star Hotel.All travellers will be taken from airport to their hotel by a taxi service and for the returs will be the same service.

Be concise and relevant

Letters should take seconds rather than minutes to read.

As a result, get straight to the point and stick to it, don’t include any unnecessary or supplementary information, don’t use any flowery language or long words just for the sake of it, and don’t repeat too much information.

Check your grammar and spelling very carefully

Mistakes will create a very bad impression, will lessen the effect of what you’re saying and in the case of a job application letter, could well also consign it to the bin. So:

- use the spellchecker if you’re using a computer

- check the spelling yourself, as the spellchecker won’t recognize incorrect use,
for example, of dose and does. Use a good dictionary.

- check your grammar carefully. If it’s been pointed out to you that you make
mistakes, look especially for these kinds of errors. Get someone else to check it
for you if necessary.

- check your sentences and punctuation. Are the sentences complete? Does the
punctuation help to make what you’re saying clearer?

Don’t rush the letter; many mistakes occur because of this. Allow plenty of time for checking, and if necessary, for rewriting.

Use the right tone of language

It’s important to use the right type of language, the right ‘register’. Most letters you write will need to be formal, but not overly so. In fact, you should use similar language to that which you use in your academic writing. This means you should:-

- avoid everyday, colloquial language; slang or jargon

- avoid contractions (I’m; it’// etc)

- avoid emotive, subjective language (terrible, rubbish etc)

- avoid vague words such as nice, good, get etc

You should always be polite and respectful, even if complaining. One way of doing this in English, which is common in formal letter writing, is to use ‘modal verbs’ such as would, could and should. Instead of simply writing Please send me, you could express this more formally as I would be grateful if you could send me ...

Dear Mr John,
Thank you for your letter with details of my changed holiday arrangements.
I organized this travel for my parents and they want to go to the hotel Luxor but, if this option is impossible, they don´t like to go to the New York New York Hotel, they prefer book the Bellagio Hotel.
The date is not a problem, they can depart as soon as it is possible, on 24th October is perfect.
The last problem is pick-up service, they could be a limousine, because is our surprise for their anniversary, maybe if it is impossible for this date, we are able to rent a limousine for other day, and the landing day, they can take a taxi.
